Managing Conferencing
From the NMS and using the Conferencing page, the
administrator can configure individual "Conference Rooms" and view all
of the details regarding all active or inactive conferences of the
NetSapiens Conference Server (NCS). Conferencing is managed using the Conference page.
To Display the Conference Page:

Adding New Conferences

Complete the fields in the Add New Conference dialog box

Click the Create button, then click the Refresh
button. The conference you added appears in the Conferencing page.

You can now add participants to your conference

If NULL, participant will not be prompted for PIN, but will also prevent caller from declaring itself as Leader when joining the conference, and will have to sign-on to leader after joining the conference.

Request Name

To Enable or Disable the request for Participant to say their name before joining a conference session. If "Request Name" is enabled, the "Arrival" and "Depart" tone will be replaced by announcement of the Participant's name joining or departing the conference.

|
Are the participants locked or can they be changed?

Announce Participants
|
Are participants announced when they join and enter a conference

Mute Participants
|
Can participants be muted during a conference

Leader Required
|
To configure whether Participants are sent to Music-On-Hold at the beginning of a Conference Session before a Leader arrives, and whether Participants be placed back to Music-On-Hold if all Leaders dropped out from a Conference Session in progress.

Quorum (since 1-1208)
| The number of participants (including leaders and speakers) required to start a conference. Participants arrived before the quorum is reached will be placed at Music-On-Hold. |
Audio Directory
|
Designates the directory for the conference to read the audio files.
|
Arrival Tone
|
Tone played when participants arrive to conference
|
Departure Tone
|
Tone played when participants depart from conference
|
Dial Translation
|
Designate the Dial Plan that defines the mapping of DTMF sequences to specific conference feature controls and parameters.

Adding,
Viewing, and Deleting Participants

From the Conference, under the Show Participants
column, click the SHOW PARTICIPANTS link for the
desired conference. A page similar to the one shown below appears.
This page has two sections: the top section lets you edit the
conference you selected, while the bottom section lets you edit the
participants to the conference.
Using the Conference
section
Using the Conference section you can edit a
conference and show or hide participants.

To edit or delete the conference from the Conference section,
click the conference under the Conference Device Name column.
When the
Conference Details dialog box appears, use the above procedure to edit
the conference or to delete the conference.

To hide the participants to the conference from the Conference
section, click the HIDE PARTICIPANTS link under the Show
Participants column. The participants are hidden and the Conference
page reappears.
Using the
Participants Section
Using the Participants section, you can add, call
and disconnect, mute, and delete participants.

To add participants from the Participants section shown above,
click the Add button in the participants section. When
the New Conference Participant dialog box appears,
enter the participant’s phone number (including any special dialing
requirements such as country or area code) and click
either the Call
Now button (to call the participant now) or the Call Later
button (to call the participant at a later time). Multiple participants
can be set up for Call later, in which case the Call All button
in the main screen can be used to call all of the listed participants
simultaneously.

To call all connected
participants at one time, click the Call
All button at the bottom-left area of the Participants section.

To disconnect all connected
participants at one time, click
the Disconnect All button at the bottom-right area of the
Participants section.

To mute a participant from the Participants section, click the MUTE
link under the Mute column for the participant. The link
changes to UNMUTE, You can click the UNMUTE link to
turn off muting.

To delete a participant from the Participants section, click the
DELETE link under the Delete column for the
participant you want to delete.
No precautionary message appears
before you delete a
participant. Therefore, be sure you do not need a participant before
you delete it. If you accidentally delete a participant that you want
to keep in a conference, perform steps 1 and 2 in this procedure to add
the participant to the conference.

To delete all participants at
one time, click the Delete
All button at the top-right area of the Participants section.

Editing Conferences
There may be times when you want to edit a conference. To edit a
conference:
Deleting Conferences
-
If you no longer need a conference, use the following procedure
to delete it from the system.

From the Conference, under the Conference URI column,
click the conference you want to delete. The Conference Details dialog
box appears

Click the Delete button. A precautionary message asks
if you are sure you want to delete the item.

Click OK to delete the conference (or click Cancel
to retain it).

Click the Refresh button to update the screen.
Conference Configuration
1167 code or higher
- Create a user without a device. Example: 6000@netsapiens.com. This allows
user features to be assigned to the conference room.
- For this user, set forward always to a dial translation like
0026000.
- Under Applications, create a conference room with this user name.
This will allow the conference leader login to be a user with
conference features. For example: the conference name may be
6000.netsapiens.com
- Create a dial rule in the domain dial translation. The dial
translation for our example is 0026??? or similar. Select the
Application to be ToOwnedDevice . The user translation is
[!!!*].<OwnDomain>. The host translation is conference-bridge.
(0026??? was used to cover several conference rooms in the same domain)
- Create a route unless it already exists. Example:
sip:*@conference-bridge. The first route host is conference-bridge.
- Create a connection. Example: *@conference-bridge. Term match is
conference-bridge. IP is 127.0.0.1:5081.

Create Conference Room
Create a conference room for the specific user
- Over-ride "Conference Device Name" to be
"sip:<User>@<Host>"
This will create a Conference Room called
"sip:<User>.<Host>@conference-bridge" with a Virtual
Registrar Entry having :

Since all call features disabled by administrative provisioning, the
normal
Call Forwarding feature is not available to this user. However, with
the conference room provisioned this way, all call to the user
<User>@<Host> to be directed into
the Conference Room, without using any forwarding rule
This user has a single device which happens to be a conference room.
Conferencing Related Dial Translations
You can access the Conferencing Related Dial Translations by navigating to System --> Settings --> Conferencing --> Conferences Dial Translation. (as shown below)
